Who we’re looking for:

The Client & Project Coordinator helps keep our projects and client communication organized and on track. This person serves as a friendly, detail-oriented point of contact for clients — ensuring that requests are clearly communicated, deadlines are met, and our creative team has what they need to deliver quality work.

This is a coordination role with room to grow. The ideal candidate enjoys organizing details, helping people, and learning how marketing projects come together from start to finish. As experience grows, this person can develop into a client-facing Account Manager.

Key Responsibilities

Client Communication & Coordination

  • Serve as a main point of contact for routine client communication and updates.

  • Gather marketing and design requests through email, meetings, or forms.

  • Clarify goals and details before assigning work to the creative team.

  • Schedule meetings, prepare agendas, and share recap notes.

  • Help ensure clients feel informed, supported, and valued.

Project Organization

  • Enter and track projects in our management system (Monday.com or similar).

  • Create task lists, deadlines, and assignments for the creative team.

  • Monitor progress and follow up on deliverables to keep things moving.

  • Review requests for completeness before sending to design or content staff.

  • Support quality control by double-checking materials before client delivery.

Team Support

  • Coordinate internal communication between design, content, and leadership teams.

  • Assist with client onboarding, gathering brand materials, and setting up project folders.

  • Keep internal records organized — client notes, project histories, contact details.

  • Jump in where needed to support a fast-moving creative environment.


Qualifications

  • 1–3 years of experience in marketing, communications, project coordination, or client service (agency experience a plus but not required).

  • Excellent written and verbal communication skills.

  • Detail-oriented and organized — able to manage multiple projects at once.

  • Positive, professional attitude with a customer-service mindset.

  • Comfortable using project management tools, Google Workspace, and CRM platforms.

  • Eager to learn marketing workflows and grow into a client management role.

Compensation & Details

  • Pay: $23/hour (approx. $47,800/year full time)

  • Schedule: Full-time, Monday–Friday

  • Location: Fort Wayne, Indiana (in-office or hybrid)

  • Reports To: Director of Operations / Agency Owner

  • Growth Path: Opportunity to advance into Account Manager or Marketing Project Manager roles with increased responsibility and pay
